Keeping your books ready for SARS all year

Year-end panic is almost never a money problem. It is a filing problem. The numbers exist, they are just spread across a banking app, a shoebox in the car, a WhatsApp thread with a supplier and somebody's memory of a payment made in March.

By the time the deadline is close, reconstructing all of that costs more in time and stress than keeping it tidy would have cost in the first place.

One hour a month, the same three things

You do not need software you have to learn or a system with a name. You need a rhythm.

  1. Reconcile your bank account against your records, so every line is accounted for
  2. File every slip and invoice for the month in one place, digital or physical, pick one and stick to it
  3. Write a note next to anything unusual while you still remember what it was

That third one saves the most work later. A R6,400 payment with no note attached becomes an afternoon of detective work eight months from now.

What SARS actually expects you to keep

Keep whatever supports the figures you submit: invoices you issued, expenses you claimed, payroll calculations and your bank statements. Keep them for five years. If a query comes, the question is never "do you remember", it is "can you show us". Records that are complete and boring are exactly what you want.

Payroll is where small mistakes compound

Staff deductions that are slightly wrong every month do not stay small. Twelve slightly wrong payslips become one large correction, usually at the worst possible time, and the staff member is the one who feels it. Getting the calculation right on the first payslip is far cheaper than fixing a year of them.

Two habits that keep it clean

Keep the business account separate from your personal one. This is the single biggest favour you can do your bookkeeper, and your future self. When groceries and stock come out of the same account, every month takes twice as long to sort out.

Then get your figures monthly rather than annually. Knowing in June that a line of work is barely breaking even is useful. Finding out in February the following year is just history.

When to hand it over

Hand it over when you keep pushing it to next month. That is the honest signal. Bookkeeping is the least glamorous work we do and it is the thing clients are most relieved to be rid of. We keep monthly records, run payroll, handle the SARS submissions and send you a report at the end of every month, so the year-end holds no surprises.

Questions we get asked most

How long do I need to keep records for SARS? Five years from the date of submission. That covers invoices you issued, expenses you claimed, payroll records and bank statements. Digital copies are fine, as long as they are complete and you can actually find them.

Do I need a bookkeeper if my business is small? Not necessarily. If you are disciplined about the monthly hour described above, many one-person businesses manage on their own for a while. The moment you take on staff, or the moment you start postponing it, the cost of doing it yourself stops being zero.

What happens if my books are behind? Nothing dramatic, it just needs catching up. We work backwards month by month until the records are current, then keep them current. Most clients who come to us are behind, which is usually why they called.

Can I use my personal bank account for the business? You can, and we would strongly suggest you stop. Separating the accounts is the cheapest thing you will ever do for your bookkeeping, because every month where groceries and stock share a statement takes twice as long to untangle.

What does monthly bookkeeping cost? It depends on your transaction volume and whether payroll is involved, so we quote per business rather than publishing a number we would have to walk back. Send us a rough idea of your monthly activity and you will have a figure the same day.

If your books are already behind, that is normal and it is fixable. Send us a WhatsApp and we will tell you what catching up involves before you commit to anything.
